This is an amazing opportunity to join an established and reputable Asset Management Company, which manages substantial private funds. The successful candidate will deliver excellent administrative support to the investment team and will manage matters with regard to general office facilities and equipment.

The range and diversity of responsibilities will require the post holder to adopt a flexible
approach to workload and be mindful of the priorities of others.

Role:

Team Assistant duties:

• Diary management for the investment team (currently four individuals although
likely to grow) including their travel and itineraries when required
• Oversight of the Company diary as a whole, including the organisation of all
corporate meetings and a general awareness of the movements of the wider team
• Creation of investment presentations, including manipulation of data and formatting
for all corporate and team meetings
• Assistance in the production of corporate meeting papers
• Minute‐taking of internal and external meetings
• Provision of signatures on important paperwork in a timely fashion
• Responsibility for electronic and paper filing, for instance, relating to corporate
Meetings.

Office Manager duties:

• First point of contact for telephone enquiries
• Management of internal communications, including maintenance of the Company
Intranet
• Line management of a Team Assistant
• Point of contact for all employees with regard to escalating IT and telephone system
issues
• Co‐ordinator for ad hoc projects such as system changes and office moves
• Management of facilities, including, but not limited to, post‐opening, fault‐reporting,
accepting deliveries and organising collections
• Provision of stationery, equipment and general office supplies
• Reconciling invoices and liaising with suppliers to rectify when necessary
• Responsibility for first aid and fire marshalling.

Skills and attributes:
• Five years’ experience in an Assistant capacity; having worked to multiple individuals
simultaneously would be an advantage
• Solid academic background, preferably to Degree level
• Confident communicator, both verbal and written
• Advanced knowledge of Microsoft Outlook, Word, Powerpoint and Excel
• Close attention to detail in the execution of all tasks, whether great and small
• Forward planner and an ability to see the bigger picture
• Logical and calm manner with a flexible attitude towards workload and prioritisation
• Demonstrable record of close team working with a successful outcome
• Demonstrable record of making improvements to systems/processes and in bringing
these improvements to fruition.
